Executive Assistant to President
Position: Executive Assistant to President
Applicants will only be invited for an interview if experience is found in all 5 categories listed below.
1. Aviation (Experience is a MUST)
Responsible for all Private Business Travel including private aircraft to ensure smooth business operation.
- Extremely high level for attention to detail is required.
- Must have an excellent understanding of Transport Canada and 604
- Operation regulations in order to keep the company compliance.
- Responsible for all operation manuals as well as SMS compliance.
- Prepare all flight plans with respect to insuring all electronic flight software is updated.
- Complete EAPIS for all crew members and Passengers.
- Ensure passenger needs are met
- Ensure all correct documentation prepared and filed in binders.
2. Marketing
Responsible for managing all aspects of corporate brand identity and improving overall image of company.
- Website management
- Collateral Material
3. Support President
- Clerical support
- Prepare confidential documentation as required
- Manage correspondence
- Manage files to ensure confidentiality
4. Human Resources
- Overseeing Group Benefits
- Payroll back-up
- Lead implementation of annual employee performance evaluation process
- Execute complete payroll process as required for vacation relief etc.
- Analyze payroll documentation to uncover issues
- Develop and implement improved payroll procedures (e.g. changes for previous payroll documentation, appropriate approval and signoff)
- Lead implementation of annual employee performance evaluation process
- Job descriptions developed and approved for all employees
5. Office Processes and Procedures
Support on-going business processes, provide recommendations for improvement, develop new procedures and implement
- Compliance and good knowledge with all OH&S.
- Manage IT supplier and internet provider
- Ensure best value / quality of service
- Work with suppliers to resolve issues as quickly as possible
- Accounts Payable
- Identify office process and procedure gaps
- Work with employees to understand issues and find solutions
- Implement new procedures (e.g. Customer retention processes
- Research, develop and help implement template for annual employee reviews.
- Research and provide recommendations for problem solving issues as they occur (e.g. Vacation, Sales (deficiencies) On-time incentive for detailers)
- Develop relationships with staff to understand group and individual issues and provide President with recommendations.
